Privacy Policy
Last updated: 11 October 2026
This policy explains what personal data Arohana AI Solutions ("Arohana", "we", "us") collects through arohana.studio and our products, including Swaram (our voice agent) and our tools that help businesses manage their Google Business Profile. It also explains what we do with that data and the choices you have. We follow India's Digital Personal Data Protection Act, 2023.
1. What we collect
When you ask for a demo call on our website: your name, work email, mobile number, company, industry, what you want Swaram to handle, the type of call you picked, and your IP address.
When Swaram handles calls for a business: the caller's or recipient's phone number, call details (time, duration, outcome), what the agent recorded during the call, and the call transcript. For outbound calls, the business placing the call confirms it has the customer's consent.
When you use our partner portal or dashboards: your email address, a scrambled (hashed) form of your password, and a log of sign-ins and actions with IP addresses, kept for security.
When a business connects its Google Business Profile: the business's profile information (such as name, opening hours, phone and website), its reviews, the public names and profile details of the people who wrote those reviews, and the replies posted to them.
When a business owner talks to us on WhatsApp: their WhatsApp number and the messages exchanged, such as review alerts, approvals and requests to change profile information.
2. How we use it
- To place the demo call you asked for, and to follow up with you about it.
- To run Swaram's calls for the businesses that use it, and to show those businesses their call history and reports.
- To read a business's Google reviews, draft replies, post the replies the business allows, alert the owner to reviews that need their attention, and update profile information the owner has asked us to change.
- To keep our services secure, prevent abuse (for example, limits on demo calls per number and network) and fix problems.
We do not sell personal data, and we do not use it for advertising.
3. Google user data
When a business connects its Google Business Profile, we use Google's APIs only to read reviews and profile information, post review replies, and update profile details for that business, as the business has asked. Arohana's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- We use this data only to provide and improve these features for that business.
- We share it only with the service providers in section 5 that we need to provide the feature, or when the law requires it.
- We never use it for advertising, never sell it, and never use it to train general-purpose AI models.
- People at Arohana read it only with the business's permission, to provide support, for security, or when the law requires it.
A business can disconnect at any time by removing Arohana as a manager of its Business Profile or by revoking access at myaccount.google.com/permissions. It can also ask us to delete the data we hold.
4. Who decides how call and review data is used
When we run calls or manage reviews for a business, that business decides why its customers' data is processed. We act on its instructions. If you were called by, or called, a business that uses Swaram, or you reviewed one, you can contact that business or us about your data.
5. Who we share it with
We use these service providers to run our products. Each one gets only what it needs:
- Hosting and database providers: to run our website and applications and store data.
- A voice technology provider: the speech and voice technology that places and answers Swaram calls.
- An AI model provider: to classify reviews and draft replies.
- Google: Business Profile APIs, and web fonts on our site (which means Google sees your IP address when the page loads).
- Meta (WhatsApp): messages with business owners.
Some of these providers may process data outside India. When that happens, it is done in line with Indian law. We may also share data if the law requires it.
6. How long we keep it
- Call transcripts are deleted automatically within 90 days. Call details without the transcript are kept while the business uses Swaram.
- Demo requests are kept while they are useful for following up with you, and deleted sooner if you ask.
- Google review and profile data is kept while the business stays connected and deleted after it disconnects, unless the law requires us to keep it.
- Security logs are kept as long as needed to protect our services.
7. Cookies
We use one cookie to keep you signed in to the partner portal and dashboards. We do not use advertising or tracking cookies.
8. Security
Data is encrypted in transit. Passwords are stored only in hashed form. Sign-in attempts are limited, and access is restricted to the people who need it. No system is perfectly secure, but we work to protect your data, and we will tell you and the authorities if a breach affects you, as the law requires.
9. Your rights
Under the DPDP Act, you can ask us to:
- tell you what personal data we hold about you and how we use it;
- correct, complete or update it;
- delete it, or withdraw consent you gave us;
- name someone who can use these rights for you if you cannot.
Email namaste@arohana.studio and we will reply within 30 days. If you are not satisfied with our answer, you can complain to the Data Protection Board of India.
10. Children
Our services are for businesses and are not meant for anyone under 18. We do not knowingly collect children's data.
11. Changes
If we change this policy, we will update the date at the top. For significant changes, we will also tell the businesses we work with.
